The AI is intended to assist tenants, apartment seekers, landlords, property managers, maintenance staff and authorized administrators.
Smart Property AI supports human decision-making. It does not replace professional legal, financial, technical, safety or property-management advice.
2. How the AI is being developed
Smart Property AI is being developed as a custom, property-focused artificial-intelligence system. The project includes its own reviewed datasets, tokenizer, model-training process, evaluation tools and safety controls.
The intended training workflow includes:
- Collecting legally permitted property-related data.
- Removing unnecessary personal and confidential information.
- Cleaning and reviewing the training records.
- Separating training, validation and test datasets.
- Training a custom multilingual tokenizer.
- Training the base model using the approved dataset.
- Fine-tuning the model for specific property tasks.
- Evaluating accuracy, privacy, security, fairness and multilingual performance.
- Releasing a model only after appropriate testing and human review.
During development, separate technical services may be used for speech recognition, speech output, translation, image analysis or document extraction. The actual production providers will be documented before those features are publicly activated.

4. How an AI request is processed
A typical AI request may follow these steps:
- The user submits text, speech, an image or a document.
- The platform identifies the requested language.
- Privacy and security filters inspect the request.
- The system identifies the user’s intended task.
- The user’s account role and property permissions are checked.
- An authorized platform service processes only the information required for the task.
- The AI generates a response, summary or suggested action.
- Output controls check the response before it is displayed or used.
- Sensitive actions require confirmation or human approval.
5. Multilingual communication
Smart Property AI is designed to communicate in multiple languages and help users interact with property services in their preferred language.
Translation quality may vary between languages, accents, dialects, specialist terms and regional expressions.
Important messages, legal documents, payment instructions and tenancy information should be checked by a qualified person where accuracy is essential.
6. Voice assistance
Supported pages may allow users to speak instead of typing. Speech may be converted into text so the AI can understand and process the request.
The system may also read AI-generated responses aloud. Users can stop speech output and continue using written controls.
Voice input is optional. Keyboard and text-based alternatives should remain available.
Users must review information captured by speech recognition before submitting a form or authorizing an action.
7. Visual form guidance
Smart Property AI may guide users through property searches and forms by explaining the current step, highlighting the active field and describing what information is required.
The AI must not submit an important form, application, payment or contractual instruction without showing the information to the user and requesting confirmation where appropriate.
8. Image analysis
Users may upload property or maintenance images for organization and analysis. The system may attempt to identify visible conditions such as:
- Water damage.
- Mold or dampness.
- Broken fixtures.
- Damage to walls, floors or ceilings.
- General room or property condition.
Image analysis can be incorrect, particularly when an image is unclear, incomplete, dark or taken from an unsuitable angle.
AI image analysis does not replace an inspection by a qualified maintenance, safety or building professional.
9. Document processing
Smart Property AI may extract or summarize information from documents such as:
- Lease agreements.
- Rental applications.
- Maintenance invoices.
- Inspection reports.
- Property notices.
Extracted information may be incomplete or inaccurate. The original document remains the authoritative source and should be reviewed before relying on an AI summary.
AI document summaries do not constitute legal advice or a binding interpretation of a contract.
10. AI limitations
Artificial intelligence can misunderstand a request or generate information that appears convincing but is inaccurate, incomplete or outdated.
The AI may experience difficulty with:
- Ambiguous or incomplete instructions.
- Poor-quality speech recordings.
- Strong background noise.
- Regional accents and dialects.
- Damaged or handwritten documents.
- Low-quality property photographs.
- Complex legal or contractual questions.
- Information that is missing from the platform.
Users should verify important outputs against original documents, verified property records and information supplied by authorized people.
11. Human oversight
Smart Property AI should not independently make final decisions concerning:
- Acceptance or rejection of rental applicants.
- Lease creation, amendment or termination.
- Eviction or other legal action.
- Financial demands or payment disputes.
- Decisions based on sensitive personal information.
- Emergency building or maintenance safety.
- Access to private or security-sensitive areas.
- Unlocking doors or controlling sensitive smart-home devices.
These matters require meaningful review by an appropriately authorized person.
12. Fairness and non-discrimination
Smart Property AI must not recommend, encourage or support unlawful discrimination.
Property recommendations should be based on legitimate criteria selected by the user, such as:

- Maximum rent.
- Number of rooms.
- Property type.
- Move-in date.
- Accessibility requirements.
Protected personal characteristics must not be used to unlawfully exclude applicants or manipulate property availability.
Training and evaluation should include bias testing across supported languages and user groups.
13. Privacy protection
The AI is designed to receive only the information required to perform an authorized task.
The platform must check the user’s role and property assignment before retrieving tenant, lease, payment, complaint, maintenance or document information.
The AI must not reveal another user’s private information or bypass platform access controls.
Users should not enter unnecessary passwords, authentication codes, full payment-card numbers, identity-document numbers or other highly confidential information into the AI conversation.
14. Training data
AI training data should be obtained lawfully, relevant to the intended property tasks and reviewed for quality, privacy, harmful content and bias.
Personal information should be removed, anonymized or effectively pseudonymized before approved information is used for model training.
User conversations are not automatically trusted or added to the training dataset.
Passwords, authentication codes, full payment-card details and unnecessary identity information must not be included in training datasets.
15. Safety boundaries
Smart Property AI should refuse, block or safely redirect requests that attempt to:
- Reveal passwords or authentication codes.
- Expose private tenant or landlord data.
- Bypass user roles or property permissions.
- Manipulate rental eligibility unlawfully.
- Create fraudulent property documents.

16. Smart-home integrations
Where smart-home integration is available, the AI may suggest an action but must not override permission, confirmation or auditing requirements.

- Verify the user’s role and property assignment.
- Check authorization for the specific device.
- Request explicit confirmation from the user.
- Execute the authorized command.
- Record the command and result in the security audit log.
Emergency revocation and manual device controls should remain available to authorized users.
17. Automated communication
Smart Property AI may help create or send authorized rent reminders, lease-renewal messages, appointment reminders and maintenance updates.
Automated messages should identify their purpose and communication channel. Delivery cannot be guaranteed because it may depend on external email, telephone, SMS or WhatsApp providers.
Legal notices, disputed payment demands and messages with significant contractual consequences should be reviewed by an authorized person before sending.
18. Monitoring and evaluation
The AI should be evaluated before production use and after significant updates.
Evaluation areas include:
- Property-task accuracy.
- Multilingual response quality.
- Speech-recognition performance.
- Privacy and personal-data leakage.
- Prompt-injection resistance.

- Report inaccurate, discriminatory or unsafe responses.
- Stop an action and request human assistance when uncertain.
20. Reporting an AI problem
If an AI response appears incorrect, discriminatory, unsafe, harmful or privacy-invasive, do not proceed with the suggested action.
